OpBench is a product of GenAI Ventures. This Privacy Policy explains how we collect, use, and share information when businesses use our AI receptionist platform.
Who This Policy Applies To
This policy applies to business owners, administrators, and staff who use the OpBench dashboard, and to callers or customers who interact with an OpBench-powered AI receptionist. OpBench is designed for any service-based business with high volumes of inbound calls and appointment scheduling needs, including but not limited to HVAC companies, roofing contractors, healthcare clinics, and similar businesses.
Information We Collect
About callers and customers:
- Name and phone number;
- Email address and physical address where provided;
- Service or appointment details;
- Call recordings, transcripts, and AI-generated call summaries;
- Appointment date, time, and outcome.
About businesses using OpBench:
- Business name, address, phone number, and timezone;
- Login email and hashed password;
- Onboarding details including services offered, operating hours, staff information, and AI configuration preferences;
- Google Calendar authorization credentials (access tokens and refresh tokens, stored encrypted);
- Subscription plan details.
How We Use This Information
We use collected information to:
- Operate the AI receptionist service and handle inbound and outbound calls;
- Book, reschedule, and manage appointments via Google Calendar;
- Analyze call transcripts to extract structured appointment and contact information;
- Send notification emails to business administrators;
- Maintain audit logs for administrative and troubleshooting purposes.
Information We Share With Third Parties
We share data with the following service providers solely to operate the platform:
- Vapi: Receives caller phone numbers and appointment variables to conduct AI voice calls;
- Google Calendar: Receives customer name, email, phone number, and appointment details to create calendar events;
- OpenAI: Receives call transcripts and summaries to extract structured data such as names, contact details, and appointment information;
- Resend: Receives business administrator name and email to deliver notification emails.
We do not sell your data. We do not share data with advertisers or unrelated third parties.
Data Storage and Security
Caller and customer personal information including names, phone numbers, email addresses, and physical addresses is encrypted at rest. Google Calendar tokens and third-party API credentials are also encrypted at rest. Call recordings are stored on Vapi's servers and accessed via secure URL. All data is transmitted over TLS encrypted connections.
Google API Data Usage
OpBench's use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use data received from Google Workspace APIs to develop, improve, or train generalized or foundational AI/ML models.
Healthcare Users
If you are a healthcare provider using OpBench, you are responsible for ensuring your use of the platform complies with applicable healthcare privacy laws in your jurisdiction, including HIPAA (United States) and PHIPA (Ontario, Canada). A Business Associate Agreement (BAA) is available upon request at contact@opbench.com.
Data Retention
We retain call logs, transcripts, and contact records for as long as the business account remains active. Upon account termination, data is retained for 30 days and then permanently deleted. Businesses may request deletion of their data at any time by contacting us.
Your Rights
Callers or customers who wish to request access to or deletion of their data should contact the business that used OpBench to handle their call. Business administrators may contact us directly using the information below.

Changes to This Policy
We may update this policy from time to time. We will notify registered account holders by email of any material changes at least 14 days before they take effect. The effective date at the top of this page will reflect the most recent update.
